Live Oud Bar Booking Policy
Securing Your Date
All Live Oud Bar bookings are subject to availability.
A booking is only confirmed once:

The contract has been signed, and
-
A non-refundable 50% booking fee has been received.
Until both the signed agreement and deposit have been received, Aimara Oud reserves the right to release the date.
Payment Terms

A 50% non-refundable booking fee is required to secure your event date.

The remaining balance must be paid no later than 7 days prior to the event date.

Failure to pay the remaining balance by the due date may result in cancellation of services.
All payments must be made via bank transfer unless otherwise agreed in writing.
Guest Numbers
Final guest numbers must be confirmed no later than 14 days before the event.
Quotes are based on the agreed number of guests, and materials (oils, bottles, pouches, personalisation) are prepared in advance accordingly.
If fewer guests attend on the day, refunds cannot be issued.
If guest numbers increase after confirmation, we will accommodate where possible, subject to availability and additional charges.
Personalisation
All personalisation details (initials, dates, colours, wording) must be confirmed at least 14 days before the event. Once production has begun, changes cannot be made.
Event Day Requirements
The client must ensure:

Suitable space for the cart (minimum 2.5m x 2m recommended)

Safe access for set-up and breakdown

Parking/unloading access near the venue

Protection from adverse weather if outdoors
Outdoor set-ups are weather dependent. In the event of heavy rain or unsafe conditions, an indoor alternative must be provided.
Cancellations & Date Changes

The 50% booking fee is strictly non-refundable.

Cancellations made less than 14 days before the event will require full payment of the remaining balance.

Date changes are treated as cancellations unless Aimara Oud agrees, at its sole discretion, to transfer the booking to a new available date. A new deposit may be required.
